Privacy Policy
VetForge ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and how we protect it when you use the VetForge platform.
1. Information We Collect
Account Information: When you create an account, we collect your email address and a hashed password. We do not store your password in plain text.
Intake and Conversation Data: We collect the information you provide during the AI intake conversation, including details about your service history, medical conditions, symptoms, and daily impact. This information is used solely to generate your claim documents and improve your experience on the Platform.
Generated Documents: The documents created for you (personal statements, buddy letters, nexus letter templates, evidence checklists, and rating guides) are stored securely in your account.
Payment Information: Payments are processed through Stripe, a third-party payment processor. VetForge does not store your credit card number, expiration date, or CVV. We receive only a transaction confirmation and basic billing details (last four digits, card type) from Stripe. For Stripe's data practices, see Stripe's Privacy Policy.
Usage Data: We may collect basic usage data such as browser type, device type, pages visited, and general geographic location (country/region level) for analytics purposes. This data is not linked to personally identifiable information.
2. How We Use Your Information
- To create and manage your account
- To generate your personalized VA claim documents
- To process payments and send receipts
- To respond to support requests
- To improve the Platform and AI models (using aggregate, de-identified data only)
- To send transactional emails (account confirmation, password reset) — no marketing without consent
3. How Your Data Is Stored
Your account data, intake conversations, and documents are stored using Supabase, a secure cloud database platform. Supabase implements row-level security (RLS), meaning your data is cryptographically scoped to your account — no other user can access your records. Data is encrypted at rest and in transit using industry-standard TLS encryption.
For Supabase's data practices and security certifications, see Supabase's Privacy Policy.
4. Claude AI / Anthropic API
VetForge uses the Claude API provided by Anthropic, Inc. to power the AI conversation and document generation features. When you interact with the chat or request document generation, your intake information is sent to Anthropic's API to generate responses.
Anthropic may process this data in accordance with its own privacy practices. We recommend reviewing Anthropic's Privacy Policy. VetForge does not use your personal intake data to train AI models.
5. Data Sharing
We do not sell your personal information to third parties. We do not share your personally identifiable information with third parties except:
- Service providers: Supabase (database), Stripe (payments), Anthropic (AI processing) — each bound by their own privacy policies and our data processing agreements
- Legal requirements: If required by law, court order, or government authority
- Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the successor entity, subject to the same protections
6. Data Retention
We retain your account and document data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us at support@vetforge.io. We will process deletion requests within 30 days, subject to any legal retention obligations.
7. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data ("right to be forgotten")
- Object to or restrict processing of your data
- Receive a copy of your data in a portable format
To exercise any of these rights, contact us at support@vetforge.io.
8. Cookies
We use limited cookies to maintain your authenticated session and for basic analytics. For details, see our Cookie Policy.
9. Children's Privacy
VetForge is not directed at children under 18 years of age. We do not knowingly collect personal information from children under 18. If you believe we have inadvertently collected such information, contact us immediately.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform. Your continued use of the Platform after changes are posted constitutes your acceptance of the updated policy.
